Calling Card Procedures

These procedures are established to provide guidance to employees who, through the nature of their work, are required to travel and need to make long distance telephone calls relating to the conduct of university business. Abuse of the use of the calling card may result in disciplinary action, including termination. See University Administrative Policy Number 2204, entitled, "Telephone Use" for further clarification.

New Calling Cards: A written request, signed by the person having signature authority for the budget account being charged, is sent to Kathy Bonafede, located in 412G Innovation Hall, MSN 1F3, or faxed to extension 3-3541.

Loss: Notify Kathy Bonafede, extension 3-3542, immediately when a calling card has been lost or stolen so that appropriate action can be taken with the long distance carrier. If the calling card administrator is unavailable, call extension 3-3546 for assistance.

Replacement: Replacement of a card is coordinated through the Calling Card Administrator, Kathy Bonafede, at extension 3-3542.

Deactivation: A written request to deactivate the card is sent to the Calling Card Administrator (kbonafed@gmu.edu) upon termination of employment with the University, or when the calling card is no longer needed by the card's user. It is strongly recommended that the deactivated card be returned to Kathy Bonafede, MSN 1F3, for proper disposal. Responsibilities

Requesting Department
  • Submits completed calling card form. Telephone numbers provided on the form should include the card user's office and home phone numbers.
  • Ensures calling card user complies with George Mason University Administrative Policy 2204, titled, "Telephone Use".
  • Ensures that the calling card is not shared.
  • Informs the Calling Card Administrator to deactivate a card when its user leaves the University.
  • Reviews monthly telephone reports for calling card usage, and takes corrective action, when necessary.
  • Responsible for notifying the Calling Card Administrator immediately when a calling card has been lost or stolen.
  • Questions should be directed to Kathy Bonafede at extension 3-3542.
Calling Card Administrator
  • Activates the calling card and notifies the ordering department when the card is ready for pickup.
  • Ensures that calling card information is entered into the telephone billing database.
  • Maintains a master inventory of calling card users.
  • Responsible for deactivating lost calling cards and issuing replacements for them.
  • Responsible for deactivating and properly disposing of a calling card when its user leaves the University or no longer requires its use.
